Intro to member transfers
All transfers between clubs are handled in MatchPoint. Players can be members of, and represent, multiple clubs in competition, but they have only one home (primary) club.
Transfers are member-consented: the member must approve the move via a privacy-approval email before anything changes.
Your region may have its own rules for when transfers can happen or be approved (for example interclub eligibility). If you're unsure, check with your region — see Regional tennis contacts.
Initiating a transfer
When a player wants to join your club, start the transfer from your club in MatchPoint. You'll need the member's National ID Number (NIN) — see Identifiers explained.
- In your member list, click Add Member and select Add Existing Member.
- Search by "surname [space] club name" (e.g. "Smith Remuera") or by NIN. Only the 50 most relevant matches are shown; NIN searches show exact matches only.
- Choose Invite and Transfer to make your club the member's home club.
- The member receives a privacy-approval email and must click to accept. Their current home club is notified.
Please note – if you can't find the member with a search, contact your region or MatchPoint support at helpdesk@matchpoint.kiwi for their NIN. Never add someone who is transferring as a new member — this creates a duplicate record and a duplicate WTN (see Resolving duplicate member records).
Approving a transfer
As the club the player is leaving, depending on whether you have already archived the player, you may be asked to approve the transfer in MatchPoint.
If the member is not archived and doesn't have a registered email address, you'll need to approve the transfer on the member's behalf. You'll receive a further email — click approve for the transfer to continue.
Once the transfer is complete, the receiving club should make sure the member has the right membership category and is financial, so they're eligible to enter competitions.
Member joining as a secondary club member
If a member wants to join your club without changing their home club — for example as a social member, or to play for your club in a different competition — use Invite instead of Invite and Transfer.
- Invite – adds the member to your club as a secondary club.
- Invite and Transfer – adds the member and makes your club their home club.
As above, if you can't find the member, contact your region or helpdesk@matchpoint.kiwi. Never add them as a new member.
Transferring an archived or returning member
If a player is returning for the new season or coming back to tennis, their profile may have been archived and need un-archiving before they're eligible to play. Their archived status isn't always obvious, but there are two scenarios to recognise.
Returning member (still a secondary member of your club)
Some members move their home club elsewhere for a season but remain at your club as a secondary member, and are often archived until they return.
- Open the Archived tab of your member list and click the tool icon next to the member.
- Click Un-archive Member. The member will appear in your Active list.
- Click the member's name and, on their Details page, click Request Transfer on the right-hand side.
This asks the current home club and the member to accept the transfer. Once accepted, your club becomes their home club. If it's taking longer than expected, contact your region for help.
Archived member joining a new club
Players returning to tennis at a new club are often archived by their most recent club.
- Click Add Member and select Add Existing Member.
- Search by "surname [space] club name" or by NIN. If the member isn't registered to any club, search by NIN (exact matches only).
- The member will have no home club listed, and only Invite will be available (Invite and Transfer is greyed out). Click Invite.
An invite is sent to the member's email and to their previous club(s). Once accepted, the transfer is finalised and your club becomes their home club. You can then add memberships as needed.
